How to Use CumpleKids: Your Complete Step-by-Step Guide

To get started, click the "New Party" button (or "Create my first party" if it's your first time). A simple step-by-step wizard will open. You don't have to fill everything in at once — you can save and continue later.

In the first step you enter the basic details: the party name (e.g. "Lily's Super Birthday Party"), the birthday child's name and the age they're turning. If you're celebrating two children at the same time (joint birthday), enable the "Double Fun" option and add each child's details.

The wizard then asks for the theme (Spiderman, unicorns, dinosaurs, Frozen, football…), the message for guests and the venue and date details. If you haven't decided on the venue or time yet, you can mark it as "To be decided" and update it later from the dashboard.

Once the party is created, your dashboard shows the invitation with the design you chose. You can change the design at any time by pressing the "Design" button. This opens the invitation editor.

In the "Theme" section you'll find over 40 pre-built designs: Spiderman, Frozen, dinosaurs, princesses, football, unicorns, Marvel, animals and much more. Simply tap the one you like best and the design applies instantly.

If you want a unique design, enable "Customise Design" mode. From there you can choose the invitation's main colour, the font (over 25 fonts available), the main icon or emoji and the background image (plain, confetti, stars, waves, clouds, hearts…). You can also upload your own background image.

When the invitation is ready, press the "Send Invitation" button. A window with all sharing options will open. You'll see a unique link for the party that you can send to anyone.

From that window you can share directly via WhatsApp, SMS, Telegram or email. The message is already written automatically with the birthday child's name and the link, but you can edit it before sending.

To send to the whole class, use the "Share with the class group" button. It generates a message ready to paste directly into the group chat. This way you make sure everyone gets it in one go, without having to write anything by hand.

Every time a guest confirms or declines, your dashboard updates instantly. No need to ask anyone — you can see at a glance how many have confirmed, how many are pending and how many can't come. You also see how many children, adults and babies will be attending in total.

When confirming attendance, guests can indicate if any child has allergies or intolerances (nuts, gluten, dairy, eggs…). All that information appears grouped in the allergy summary so you can plan food safely.

If you want to add guests manually (for example, grandparents without a smartphone), press "Add Guest" in the list. You can enter their name, the child coming, how many adults and children are coming, and any allergies.

The budget module helps you avoid nasty surprises at the end. Press the "Expenses" button in your dashboard to open it. Here you log each expense: the cake, the venue, decorations, party favours, catering…

For each expense you can write the description (what it is), the amount and who paid. This is very handy if you're organising the party with multiple families — you can see at a glance who paid what and how much each family has contributed.

The dashboard shows the running total at all times. With the WhatsApp button you can send the expense summary directly to the organising group. With the export button, download the full table in Excel format to keep a permanent record.

The task module is your personal planner for the birthday. Press the task list button (the checklist icon) in your dashboard to open it. If it's your first time, you'll see a button to generate an automatic planner: CumpleKids creates a task list with suggested dates (30 days before, 20 days, 1 week, the day before…).

Suggested tasks include things like: Book the venue, Send the invitations, Order the cake, Buy decorations, Confirm catering, Prepare the goodie bags. You can add, edit or delete any task according to your needs.

As you progress, mark tasks as completed. The progress bar shows at a glance what percentage you've done. If you're organising the party with several people, you can share the list via WhatsApp so everyone sees the status of preparations.

CumpleKids has two product-related modules: the gift list (what the birthday child wants) and the party supplies (what you need to buy to organise the party).

Gift list: Search for toys and gifts based on the theme and the child's age. Add the ones they'd love most to the list. This list appears directly on the invitation, so guests know what to give and avoid duplicates. When a gift has been bought, mark it as "received" and it disappears from the public list.

Party supplies: Here you find everything you need to set up the party: decorations, balloons, party tableware, piñatas, birthday candles, goodie bags, costumes, games, photo booth… Search by category or type what you're looking for. Results come from Amazon, tailored to your party theme. Add them to your shopping list and mark them as purchased when you have them.

If you need help with a service (an entertainer, a party venue, catering, a magician, children's photography…), CumpleKids helps you find one for free. During the party creation you can indicate what services you need, or you can activate it later from the "Services" button on your dashboard.

Once activated, CumpleKids automatically searches for professionals near your party venue and notifies them that you have an event. Professionals send you their quotes with prices and availability. You see their profiles, ratings and prices, and can contact them directly.

You can add as many service categories as you need (entertainment, venue, catering, photography…). For each category you'll see the quotes you receive. When you decide who to go with, mark them as "accepted" and the professional receives a confirmation by email.
